As a Patient Care Coordinator (Experience Preferred), you are often the first point of connection for our patients and play a vital role in shaping a welcoming, organized, and reassuring experience from the very first interaction. This position blends patient communication, front office administrative support, and teamwork, with a strong focus on empathy and service.

Education: associate degree

Qualifications:

  • 2+ years of experience in a healthcare or business-related office working with customers, scheduling, and/or insurance verification
  • Associate’s degree preferred
  • Familiarity with insurance guidelines and basic medical terminology
  • Electronic Medical Record (EMR) experience preferred
  • Proficiency in Google Workspace (Gmail, Docs, Sheets, Chat, etc.)

  • Friendly, professional, and skilled at building relationships with people of all backgrounds and abilities
  • Sales skills preferred or willingness to learn basic consultative sales techniques

  • Strong commitment to customer service and patient satisfaction

Responsibilities:

  • Serve as a welcoming and dependable first point of contact by answering incoming phone calls promptly and professionally
  • Respond to new patient inquiries from phone calls, website forms, and email in a timely and thoughtful manner
  • Listen to patient concerns and guide them through next steps in care with clarity and empathy
  • Guide prospective patients through the scheduling and intake process with confidence and professionalism
  • Accurately register patients in the EMR, ensuring all demographic, insurance, and intake information is complete prior to the initial evaluation
  • Confirm receipt of patient registration forms and proactively resolve intake or scheduling conflicts
  • Schedule patient appointments based on availability, patient preferences, and clinic utilization needs
  • Track patient leads and referrals while maintaining proactive follow-up communication
  • Conduct appointment reminder and rescheduling calls to support patient attendance and continuity of care
  • Maintain clear, compassionate communication with patients, clinicians, and administrative team members
  • Assist with documentation management, scanning, and front office organization
  • Support a positive clinic environment by contributing to team communication, shared goals, and company values
  • Provide coverage for other Patient Care Coordinators as needed
